Transcribe Zoom meetings from your own PC
Zoom’s own transcription depends on your plan, on the host, and on what your organisation has switched on. Xuula depends on your PC playing sound, which it is doing anyway.

How do you transcribe a Zoom meeting with Xuula?
Start a Xuula meeting recording before or during the Zoom call. It captures your microphone and the Windows system audio, so both sides of the conversation are transcribed with speakers separated. Nothing joins the Zoom meeting, no host permission is needed, and the recording, transcript and notes are saved on your PC.
Nothing appears in the Zoom participant list
Bot-based note takers have to be admitted, are visible to everyone, and are sometimes blocked by a workspace policy. Xuula never connects to Zoom at all: it records the audio Windows is already playing, which is why there is nothing for a host or an administrator to approve.
Works whether or not you host
Zoom’s built-in transcript depends on the host enabling it and on the account plan. Capturing locally does not, so a call you were invited to by a client, a candidate or a supplier is transcribable on the same terms as your own.
Both directions of the call
Your microphone and the incoming Zoom audio are recorded into one synchronised file and transcribed in one pass, with speakers separated and renameable. You get a chronological record rather than your half of the conversation.
Live translation over the Zoom window
Optional translated captions sit in always-on-top windows above Zoom, updating as people speak, and the translation is saved with the conversation. Nothing is inserted into the Zoom call itself.
What Xuula does not see
Because it is not a Zoom application, it has no access to Zoom chat, the participant list, reactions, breakout structure or the calendar entry, and it cannot start or schedule anything for you. It sees audio and screen space, and that is all. Recording consent remains your responsibility.
Zoom transcription questions
No, and that is the design. It captures the audio your Windows PC plays and your microphone hears, so it works with Zoom without any Zoom account, app approval, plan requirement or integration to switch on.
No. Because capture happens on your own computer, transcription does not depend on the host enabling Zoom’s transcript, on the Zoom plan or on an administrator’s settings.
Not from the software — nothing appears in the participant list and no recording notice is sent. Telling them is your responsibility, and depending on where you and they are it may also be a legal requirement.
Yes, within the languages the app supports, and a translation can run beside the transcript in caption windows over the Zoom window. Both the original and the translation are saved with the conversation.
In a Project on your PC, together with the audio recording, translation, your notes, speaker names and word timestamps. It is not uploaded to Zoom or to a Xuula cloud library.
