Refund Policy

Draft — not legal advice

This document is a draft prepared alongside the product implementation. It has not been reviewed by a qualified lawyer and must not be published or relied on as a legal agreement until it has been. Values shown as [BRACKETED TEXT] are business decisions that have not been made yet.

Last updated: July 28, 2026Effective date: [EFFECTIVE DATE]

This policy is part of the Terms of Service. It sets out the refunds we offer voluntarily. It does not reduce any statutory right you have where you live — where the two differ, whichever is more favourable to you applies.

1. The 14-day window

If you are unhappy with Pro, ask us within 14 days of your first payment on a subscription and we will refund it in full.

This applies to a first subscription payment, whether monthly or annual. It is intended for people who tried Pro and found it did not work for them.

The free plan exists so you can test recognition quality on your own microphone before paying anything. We would rather you used it than paid and asked for a refund.

2. Renewals

Renewal charges are not covered by the 14-day window, because you have had a full period to decide.

We email you before an annual renewal so it is not a surprise. If a renewal charge did surprise you — you meant to cancel, or you did not use the service at all during the period — write to billing@xuula.example. We look at those case by case and we are not difficult about it.

3. Statutory rights

If you are a consumer in the EEA or the UK, you normally have a 14-day right to withdraw from a distance contract. Because Xuula gives you immediate access to a digital service, that right interacts with immediate performance in a specific way: [EU/UK 14-DAY WITHDRAWAL HANDLING]

Other jurisdictions give consumers their own rights. Nothing in this policy takes any of them away.

4. What we do not refund

  • Partial periods after you cancel. Cancelling stops the next renewal; the period you already paid for runs to its end and is not prorated.
  • Accounts terminated for a breach of the Terms of Service.
  • Tax already remitted to a tax authority, where we cannot recover it. We will tell you if that applies.
  • Charges older than the window, other than the case-by-case renewal situations above.

5. When we refund without being asked

  • A duplicate charge.
  • A charge after a cancellation that we failed to process.
  • A billing error on our side.
  • A period during which we terminated your paid account for a reason other than your breach.

6. How to request a refund

Email billing@xuula.example from the address on the account. Tell us which charge, and briefly why.

We will reply within two working days. If we approve it, the refund is issued through our payment processor to the original payment method.

Your bank decides how long it takes to appear — typically five to ten working days.

7. Chargebacks

Please talk to us before disputing a charge with your bank. A chargeback costs us a fee and locks the account while it is investigated, and it usually takes longer than simply asking us.

If something has gone wrong with a payment, billing@xuula.example is faster.
